A virtual receptionist for law firms: an AI that runs a real intake, not just a message.
Intake Gateway is a virtual receptionist for personal-injury law firms — an AI, not a person — that answers your line when you can’t, runs a real personal-injury intake and offers urgent callers a live transfer to your phone.
Check the AI’s work: each intake email gives its summary and what the caller told it, and the call’s recording and full transcript are in your dashboard. AI intake and the ethics rules
Call the number we give you from your own phone and hear the agent take an intake — up to 15 minutes of test calls, before you add a card. First month free: a 30-day free trial, every answered call included, one trial per firm. Card on file, nothing charged before day 31. No setup fee. Month to month. US firms, calls in English and — if you switch it on — Spanish.
Start with nights and weekends. Forward your line only after hours, only the calls you don’t answer, or every call — a choice you make with your phone carrier or phone system, not a setting here, and can change at any time.
Hear our agent take an intake on the demo line, 75 seconds
Recorded on our demo line: our AI agent answering an automated test caller who plays an invented person. It starts after the opening disclosure every call begins with.
From the recording:
Caller (invented)
I was rear-ended Tuesday while stopped at a red light on Park Street in Madison. The insurance adjuster called this morning asking for a recorded statement and quick settlement, and that worries me.
Agent
That would worry anyone. Were you hurt in the crash?
Caller (invented)
Yes. I went to the ER that night; they said it was soft tissue, but my neck still hurts and I can’t turn my head properly.

Caller (invented): I was rear-ended Tuesday while stopped at a red light on Park Street in Madison. The insurance adjuster called this morning asking for a recorded statement and quick settlement, and that worries me.
Agent: That would worry anyone. Were you hurt in the crash?
Caller (invented): Yes. I went to the ER that night; they said it was soft tissue, but my neck still hurts and I can’t turn my head properly.
Agent: And are you working with another attorney on this already?
Caller (invented): No, I haven’t talked to any lawyer yet.
Agent: Thank you for telling me that -- I'm going to take this down for the office. Before we get into the details, I need to take a couple of names for our records. Can I start with your full name?
Caller (invented): Dana Whitfield.
Agent: Dana Whitefield. And do you know the name of the other driver?
Caller (invented): It’s Dana Whitfield—W-h-i-t-f-i-e-l-d. The other driver was Ray Kessler.
Agent: Dana Whitfield, W-H-I-T-F-I-E-L-D, and the other driver, Ray Kessler. Is that right?
After every call except one we are confident is spam, an email with the facts: a hot case named in the subject line, who called, the conflict check if you connected Clio, the summary and the intake.
Never the recording or the transcript. Those stay behind your sign-in, so a summary you forward cannot carry a caller’s voice out with it.

On your line
What it does with each caller, new case or not.
Every call opens with a fixed disclosure: the caller is speaking with an AI assistant and not an attorney, and the call is recorded and transcribed.
It answers whenever you route calls to it: only after hours, only when you don't answer, or all the time. You decide by how you forward your number with your carrier, and you can change that at any time.
Keep your number: forward it to the line we give you, and your number stays with your carrier.
Callers who are not new cases, such as an adjuster or a court, reach the same line and are handled as messages rather than leads. The agent never confirms or denies that anyone is a client of your firm and never discusses a matter.
It gathers facts, screens and schedules. It does not evaluate the merits, quote a fee of its own, or promise representation.
Set up in an afternoon, without talking to anyone: no quote, no onboarding call, no specialist.
A generic AI receptionist takes a message. This one runs your intake.
1
Urgent cases offered a live transfer
A fatality, anything involving a city or a public body, an adjuster pushing for a recorded statement, evidence about to disappear: the agent recognizes the signs and offers to put the caller through to you live, in the hours you allow transfers. When it is unsure, it offers the transfer.
2
A callback promised, or a consultation booked or requested
Every routine caller is told the office will call them back, and gives the time that suits them. Connect a calendar and the agent books an ordinary case's consultation instead, from your real availability, while the caller is still on the phone, or requests one where your calendar asks you to confirm.
3
You hear every call
The recording, the transcript, a summary and the structured intake for every call are in your dashboard. Download what you need for your file: the recording, transcript, summary and intake are removed on a fixed schedule measured from each call.
One plan, $149 a month, every answered call included. Fair use is a guide of up to 100 answered calls a month for one firm’s own line, not a cap: nothing meters your calls or cuts them off at that number. If you are consistently and substantially above it, we may get in touch to agree terms that fit that volume, and if we cannot agree any, the Terms of Service let either side end the plan.

Urgent cases are offered a live transfer in your hours; others get a callback, or a booked or requested consultation for an ordinary case once a calendar is connected
An email with the summary and intake after every call except one we are confident is spam
No. Intake Gateway is an AI agent, and it does not pretend to be a person. Its fixed opening tells the caller they are speaking with an AI assistant, and asked whether they are talking to a real person, it says it is an AI assistant. Read the whole sample call
What does the person at my office hear on a transfer?
A short private handoff naming why the call is urgent — “adjuster already in contact”, say — before the caller is bridged. If the transfer is not picked up, the caller is promised a callback — or, for an ordinary case with a calendar connected, offered a consultation — rather than dropped, and the call is flagged for you.
Does the firm have to answer transfers?
No. You set the days and hours transfers are allowed (all hours by default). Outside them the agent does not connect anyone, and marks the call urgent; only a call already under way when your hours end may still be put through. Inside them, if nobody picks up within about 20 seconds, the caller comes back to the agent and is promised a callback — or, for an ordinary case with a calendar connected, offered a consultation — and the call is flagged for you, so nothing depends on someone being awake.
Is there a contract, or a setup fee?
Neither. Plans are month to month. You cancel from the billing page in your account; if you cannot reach it, one email to the address in the footer does the same thing, and nobody has to approve it. Either way it takes effect at the end of the period you have paid for, and the agent keeps answering until then, so there is never a gap in coverage you did not ask for.
What if I want out?
Your number never moves. It stays with your carrier and you reach us by forwarding it, so turning that forwarding off puts your line back, at any hour, without asking us or waiting for us — on AT&T or T-Mobile, check that it didn’t also switch off your carrier voicemail. Billing is month to month on top of that.
